Company Quote Settings

This article explains the Voyage Planning Default / Quote Settings used when planning inland voyages. These settings control how pricing, fuel, time, routing, demurrage, and ancillary charges are calculated and displayed during voyage planning.

Setting company defaults is vital to standardizing the assumptions used by all users when generating quotes.


Where to Find These Settings

  1. Navigate to Plan VoyageQuote Settings

  2. Open the Default Values modal

  3. Select the appropriate tab:

    • Your Defaults – personal user preferences

    • Company Defaults – shared defaults applied across the organization

    • River Speed Settings – speed assumptions by river system

    • Lock Preferences – lock delay assumptions

Best practice: Company Defaults should reflect standard quoting assumptions.


General Calculation Settings

Use Nautical Miles

  • When enabled, distances are calculated in nautical miles instead of statute miles.

  • Typically used for coastal or hybrid voyages.

Override Lock Delays

  • Allows manual override of standard lock delay assumptions.


Market Services & Fuel Assumptions

Market Services

  • Enables market-based services during voyage planning (where applicable).

Estimate Tug Fuel Burn

  • Automatically estimates tug fuel consumption based on:

    • Speed

    • Distance

    • Load / unload time

Show Fuel Prices

  • Displays fuel pricing inputs in the pricing section.

Speed (MPH)

  • Default assumed tug speed for inland routing.

  • Impacts total transit time and fuel burn.

Load Time / Unload Time (Hours)

  • Default port operation durations.

  • Used for estimating total voyage duration and fuel consumption.

Active GPD / Idle GPD

  • Active GPD: Fuel burn while transiting

  • Idle GPD: Fuel burn while idle or waiting


Pricing & Margin Controls

Round Up Day Rates

  • Barge Day Rate

  • Ship Day Rate

  • Tug Day Rate

Rounds calculated daily rates up to full day to avoid underbilling due to partial days.

Include Margin on Ancillary

  • Applies margin to ancillary charges (e.g. port fees, lump sums).

Include Margin on Day Rate

  • Applies margin directly into daily asset rates.

Include Margin on Fuel Rate

  • Applies margin on top of fuel surcharge calculations.

Target Margin (%)

  • Optional margin targets for:

    • Base day rates

    • Fuel surcharge

Fuel Surcharge / Price per Gallon

  • Manual fuel surcharge inputs when market pricing is unavailable.


Demurrage & Free Time Settings

Bill Load/Unload at Demurrage

  • If enabled, loading and unloading time beyond free time is billed at demurrage rates.

Distribute Total Free Time

  • Evenly distributes free time across voyage legs instead of applying per stop.

Default Free Day Terms

  • Defines how free time is calculated:

    • Example: Sundays and holidays excluded

Default Demurrage Billing Unit

  • Typically Daily, but configurable for specific contracts.

Include Demurrage Terms

  • Displays demurrage terms directly within the pricing section.


Form Display Settings

These settings control which sections are visible during voyage planning.

Support Multiple Voyage Types

  • Allows creation of voyages with mixed routing or service types.

Enable Related Ship

  • Enables linking of ship assets to the voyage.

Edit Demurrage Terms

  • Allows demurrage terms to be edited during voyage planning.

Show Pricing Section

  • Displays estimated pricing and cost breakdown.

Show Route Default Section

  • Displays default routing preferences (e.g. shortest vs inland).

Routing Preference

  • Default routing logic:

    • Shortest

    • Inland

    • Coastal

Default Asset Billing Unit

  • Sets billing cadence (e.g. Daily).


Voyage Leg Defaults

  • Open All Legs

  • Open Loading Legs

    • Automatically opens loading legs for editing when planning voyages.

  • Close All Legs


Weather & Condition Settings

Show Weather Warnings

  • Displays weather risk alerts during voyage planning.

Use Estimated Weather Delays

  • Applies estimated delays based on weather thresholds.

Wind Delay Threshold (MPH)

  • Triggers warnings or delays when wind exceeds this value.

Visibility Delay Threshold (Miles)

  • Triggers warnings or delays when visibility drops below this value.

Show Flood Data

  • Displays river flood data where available.


Ancillary Charges

Ancillary charges can be pre-configured and applied during quoting.

How It Works

  1. Enter a description

  2. Select charge type

  3. Enter rate

  4. Click Add Charge

Ancillary charges are included in estimated pricing and margin calculations if enabled.


Saving Defaults

  • Click Save to apply changes

  • Company Defaults apply to all users

  • Personal Defaults override company settings for that user only
